Terms and conditions

holidaycottages.co.uk and Visit East of England Partnership – Community Fund Initiative

Please read these Terms and Conditions before you apply as your application to the Community Fund is deemed acceptance of these Terms and Conditions. By submitting an application, you agree to be bound by these Terms and Conditions, and agree that any personal information provided by you in connection with the Community Fund may be held by us and our Partner to administer the Community Fund and the Grant and as set out in these Terms and Conditions.

The PROMOTER of the Community Fund is The Travel Chapter Limited whose registered office is at The Travel Chapter House, Gammaton Road, Bideford, EX39 4DF (referred to as “Travel Chapter”, “we”, “us” or “our”). [Travel Chapter]

The COMMUNITY FUND (“the Community Fund”) is open to any charitable, or community organisations based within Norfolk and/or Suffolk. The aim of the Community Fund is to support local charitable or community organisations that benefit Norfolk and/or Suffolk and make it a better place to live and visit.

The GRANT is an amount of £1,000 paid to each of the six successful applicants. We will be offering three £1,000 grants to local charities and community groups based in Norfolk and three £1,000 grants to local charities and community groups based in Suffolk (six Grants in total)

Our PARTNER for the Community Fund is Visit East Anglia Limited whose registered office is at Bankside 300 Peachman Way, Broadland Business Park, Norwich, NR7 0LB (“Partner”).  Our Partner has websites which are operated under the brand names of Suffolk & Norfolk LVEP, Visit East of England, Visit Norfolk and Visit Suffolk.

1. Applications should be submitted by completing an application and submitting this via the website of Suffolk & Norfolk LVEP APPLICATION FORM during the period from 13th April 2026 to 11.59 p.m. on 25th May 2026. Any applications submitted after 25th May 2026 will not be considered by the Selection Committee.

2. Only applications that have been completed correctly and in full will be considered by the Selection Committee. Applications that are illegible, have been altered, reconstructed, forged or tampered with, or which are incomplete, will not be accepted.

3. We and our Partner will not accept any responsibility for late, lost, delayed or damaged applications and cannot be held responsible for any inability to submit an application as a result of a computer service, systems and/or server failure, error, interruption, defect or delay or any other technical malfunction.

4. We and our Partner will not accept any liability for network, computer, hardware, software failures or technical failures of any kind, which may restrict or delay you submitting an application.

5. By submitting an application via Suffolk & Norfolk LVEP, you consent to your contact details being shared with Travel Chapter and any of our group companies and brands, who may contact you at a later date. This may include communication about future initiatives and opportunities.

6. You agree and hereby consent to us and our Partner (and any companies within our group of companies) collecting, using and processing your personal information in accordance with ours and their applicable privacy policy/statement [Travel Chapter Privacy Policy / Visit East Anglia Limited Privacy Policy].

7. Employees of Travel Chapter or any of its group companies, as well as their families, and employees (and their families) of our Partner are not eligible to apply to the Community Fund.

8. Applicants must be able to demonstrate that their organisation operates within and benefits the communities in Norfolk and/or Suffolk to be eligible to apply to the Community Fund.

9. A selection committee, consisting of one representative from Visit East Anglia Limited, one representative from Holidaycottages.co.uk and one independent party chosen by us (“the Selection Committee”), will consider all correctly completed applications submitted within the dates set out in clause 1 above.

10. The Selection Committee will choose three applicants based in Norfolk and three applicants based in Suffolk who have complied with the provisions contained in these Terms and Conditions as successful applicants. Each of the six successful applicants will receive a grant of £1,000 each.

11. The Selection Committee will have discretion over and reserves the right to set reasonable parameters when assessing the applications that have been submitted.

12. The decision of the Selection Committee is final, including but not limited to whether the Grant is payable. No correspondence will be entered into regarding the outcome of, or the selection process used, in choosing the six successful applicants.

13. We will contact each of the six successful applicants direct by the end of June 2026 via the contact details provided in their application.

14. Each of the successful applicants must provide an invoice to us for the amount of the Grant before the Grant can be paid to them. If this is not provided to us within [30 days] of our request for an invoice, the Grant will no longer be available, and the Selection Committee may choose another successful application from the applications submitted.

15. The Grant must be used for the project or initiative described in the application submitted. The Grant must be spent within 12 months of the payment being received by a successful applicant.  We reserve the right to request a report or evidence of how the Grant was utilised by a successful applicant.

16. The Grant is not transferable.

17. By accepting the Grant, each successful applicant agrees and consents to participate in any publicity or promotional activities related to the Community Fund and the Grant. This may include, but is not limited to, the use of the successful applicant’s name, project details, and photographs/videos in any media for advertising, publicity purposes and in promotional materials and any other reasonable promotional purposes.

18. All successful applicants agree to grant to us a non-exclusive, worldwide, irrevocable licence, for the full period of any intellectual property rights in any accompanying materials related to the Community Fund or the Grant, to use, display, publish, transmit, copy, edit, alter, store, re-format and sub-licence any materials for such purposes.

19. Travel Chapter is not responsible for any taxes, or tax consequences, arising from the provision of the Grant.

20. Travel Chapter reserves the right to substitute a grant of commensurate value to the Grant subject to these same Terms and Conditions.

21. Travel Chapter accepts no responsibility for any variation in the value of the Grant.

22. Travel Chapter makes no representations and gives no warranties as to the quality, suitability or merchantability of the Grant.

23. To the fullest extent permitted by law, Travel Chapter and our Partner will not in any circumstances be responsible or liable to compensate you for any loss or damage whatsoever which is suffered or incurred, including but not limited to, direct or consequential loss, in connection with, or due to acceptance of, the Grant or by submitting an application.

24. Travel Chapter reserves the right to amend, withdraw or restrict the Community Fund and the Grant, and these Terms and Conditions, at any time and without notice.

25. These Terms and Conditions are intended to be legally binding and will be governed by and construed in accordance with the laws of England and Wales. The English courts will have exclusive jurisdiction over any claim or dispute arising from or related to the Community Fund, the Grant or these Terms and Conditions.

Our track record: Previous community initiatives

In 2025, our Community Fund Initiatives began. However, we’ve been finding ways to support local communities for far longer than that.

Norfolk and Suffolk

The Papillon Project is a charity that runs allotments in 35 schools across Norfolk and aims to educate young people on sustainable living and environmental awareness. Our funding is allowing the charity to introduce a new part-time member of staff to support the children’s learning.

The Suffolk Wildlife Trust’s Wilder Schools Programme is a three-year programme aimed at teaching and inspiring children to take action for nature where they live. We have funded two primary schools through this programme and hope it will inspire the children as they grow up and encourage others in the area to take action for nature.

Other projects we’ve supported across Norfolk and Suffolk include East Suffolk Council, Aldeburgh Yacht Club, and The Bircham Centre.

UK-wide partnerships

Larger organisations we’ve been lucky enough to partner with include the RSPB, Trussell Trust, Cancer Research UK and the Marine Conservation Society. We’ve restored woodland and seagrass beds, raised thousands of pounds and donated hundreds of hours of our time to these remarkable organisations, and look forward to more successful future partnerships.

Previous Community Fund recipients

Our previous Community Fund grants were presented in 2025 in partnership with Visit Pembrokeshire and Go North Wales.

Recipients include a charity combating isolation among veterans, a volunteer-run swimming pool, a wheelchair rugby league, and a community clean-up group.
