How to add an event to your listing

Before you start

Have the following information ready:

  • Event name and description
  • Event dates and times
  • Venue address
  • Telephone number and email address, where applicable
  • Website and ticket booking links
  • Social media links, where relevant
  • A suitable event image
  • Any useful information for visitors, such as accessibility details or age restrictions

1. General

This section contains the main information about your event.

Event title

Choose a clear, descriptive title that tells visitors what the event is about.

For example:

  • Suffolk Food and Drink Festival
  • Christmas Craft Market in Norwich
  • Guided Wildlife Walk on the Suffolk Coast

Avoid vague titles that don't explain what visitors can expect.

Featured event

This option determines whether your event may appear in featured components across the website. Selecting it doesn't necessarily guarantee featured placement.

Entry preview text

Write a short introduction that summarises your event. This text appears on cards throughout the website and is also used within the SEO description field.

For example: Discover local food, drink and producers at this year's Suffolk Food and Drink Festival.

Event description

Explain what visitors can expect and what makes your event worth attending. Include relevant activities, performances, experiences and who the event is suitable for.

Keep the description informative and engaging, focusing on what visitors need to know before deciding to attend.

2. Dates

Use the Dates section to enter when your event takes place.

All Day Event

Select whether your event runs all day or has specific start and end times.

Start Date and End Date

Enter the correct start and end dates and times.

If your event runs across several days, make sure the dates cover the full event period. Check your times carefully to avoid confusion for visitors.

3. Links

Use the Links section to provide contact details and direct visitors to further information or booking options.

Telephone and Email Address

Add the customer-facing telephone number and email address visitors can use to contact you about the event.

Booking Link

Add a direct link to your event or ticket booking page, where applicable. Check that the link works and takes visitors to the correct page.

Website URL

Add the website address visitors should use to find out more about your event.

Where possible, link directly to the relevant event page rather than your general homepage.

4. Location

Use the Location section to set the position of your event on the map.

Search for your venue or address using the map search field. Check the address details displayed and adjust the map pin if necessary to show the most accurate location.

Make sure the location is correct, particularly if your event takes place outdoors, at a temporary venue or somewhere that may be difficult for visitors to find.

Check the address and map position before submitting your event.

5. Social

Add links to the social media accounts relevant to your event.

The available fields include:

  • Facebook
  • Instagram
  • LinkedIn
  • TikTok
  • X (Twitter)
  • YouTube

Only add relevant links and make sure they lead to the correct account or event page. You don't need to complete every field if you don't use that platform.

6. Categories

You don't need to select categories when submitting your event.

To avoid incorrect categorisation, the LVEP team assigns the relevant categories during the review process.

7. Media

Use the Media section to select or upload your main event image.

The recommended image size is 960 × 640 pixels.

Choose a clear, high-quality image that represents your event and gives visitors an idea of what to expect. Where possible, use an image of the actual event or experience rather than a generic promotional graphic.

Make sure you have permission to use the image and that it meets the relevant image requirements.

8. FAQs

Use the FAQs section to add useful questions and answers that visitors may have before attending your event.

Think about the questions people commonly ask, such as:

  • Do I need to book tickets in advance?
  • Is parking available?
  • Is the event suitable for children?
  • What accessibility facilities are available?
  • What happens if the weather is bad?

Keep questions short and answers clear, accurate and easy to understand. Focus on genuinely useful information rather than promotional wording.

For more examples and ready-to-adapt templates, see our How to write effective FAQs for your listing guide.

Before you submit

Check that your event submission is complete and accurate.

  • The event title and description are clear.
  • Preview text summarises the event.
  • Dates and times are correct.
  • Contact details and booking links work.
  • The map pin shows the correct location.
  • Relevant social media links have been added.
  • Your main image is suitable and correctly sized.
  • FAQs have been added where useful.

Submit your event using the relevant option in the portal. If approval is required before publication, allow time for the review process.

Keep your event up to date

If your event details change, update your submission as soon as possible. Check dates, times, ticket prices, venue information and booking links regularly.
